Exhibition Stands 6, 7 & 8 can only be erected on direction of the Exhibition Supervisor once the Vehicle Ramp is no longer needed for vehicles, trolleys, deliveries etc. These stands will not be suitable for custom stands requiring long build up times.

3m x 3m Floor space @ R37 500 IF PAID BEFORE 1 SEPTEMBER 2019 thereafter R41 900
VAT exclusive @ 15%
INCLUDES a plug point, 2 exhibitor registrations, all teas & lunches for 2 exhibitors.
EXCLUDES: Shell scheme and congress dinner which must be booked separately.
An exhibitor registration fee will be charged for companies that have more than 2 exhibitors per stand booked.

Should you book and pay before 01 September 2019 to receive the discount, kindly email 
Wanda - wanda@easternsun.co.za for an updated invoice reflecting the discounted amount. Should payment not be received by 01 September 2019 you will be re-invoiced at the full amount.

NOTE:
There are various height restrictions (structural engineering certificates are required for stands 3 meters and higher): -
A:  Exhibition Hall - 5.5 metres floor to ceiling (height restriction 5 metres)
B:  Lowered Entrance Area - 3.2 metres floor to ceiling (height restriction 3 metres)
C:  Single Volume Space - 2.4 metres floor to ceiling (height restriction 2 metres)
Foyer Area - 3.5 metres floor to ceiling (height restriction 3 metres)

It is important to ensure that the back of the stand is very neat (white backing or board).
A trestle table and 2 chairs can be provided at no additional charge, orders to be placed  by 7 February 2020 with                Wanda – wanda@easternsun.co.za 
COC certificates to be provided if any extra electrical work is done. 
Appropriate hard hats, safety shoes and protective eyewear to be worn by stand builders during the build-up time.
A stand builder must have the necessary safety file on hand at the congress.
There will be 24 hour security at the venue.

Terms and Conditions: 
50% deposit to be paid within 30 days to secure stand booking.

Exhibition space must be paid for in FULL by 06 December 2019.
Cancellations MUST be in writing to Wanda Fourie - wanda@easternsun.co.za 
Cancellation needs to be acknowledged in writing by an Eastern Sun Events’ staff member in order to be valid.

Cancellation Fees: 
Until 30 September 2019: No cancellation Fee
01 October 2019 – 06 December 2019: 50% Fee
07 December 2019 Onwards: 100% Fee
Cancellation clauses will apply to stands booked, whether payment has been received or not. 
A booking made online is binding, not provisional.
Cancellation needs to be acknowledged in writing by an Eastern Sun Events’ staff member in order to be valid.

Insurance:
Exhibitors are urged to ensure adequate insurance cover is in place for all materials/equipment used.
The venue, organizers and sub-contractors may not be held liable for any damages or losses incurred.
All stand builders and exhibitors to have appropriate public liability insurance in place.

Custom Built Stands
All custom built stands that are 3 metres and higher have to submit a detailed plan/drawing of the proposed stand (incorporating front, side and top elevations): -

Electrical Certificate
An electrical certificate of compliance needs to be submitted. – The electrical certificate of compliance will need to be given to the safety officer on site, once the electrics required have been installed.

Catering
Should exhibitors require on stand catering or special catering for their own account the following applies: -
The CSIR is the exclusive supplier of food and beverage to all exhibitors.
Outside food may not be brought into the Centre either by event organisers or third parties without the express written permission of the CSIR.
Requests can be submitted through the Event Co-ordinator and must be received no later than 7 (seven) days prior to the start of the event: -

Exhibitor Loading, Off Loading & Parking
All loading and offloading is strictly through the doors at the top of the ramp leading to the exhibition hall on the North side of the CSIR ICC irrespective of the location of the stand within the building.

No loading or offloading will be permitted through the front doors or any other entrance to the CSIR ICC under any circumstances.

Exhibitors are requested to queue at the loading bay without obstructing traffic, offload as speedily as possible, and remove the vehicle to parking away from the loading bay area. The CSIR ICC reserves the right to have towed away any unattended vehicles obstructing traffic.
