Terms and Conditions
Important Information: - Early registration closes 30 May 2020 - The congress registration fee excludes your hotel accommodation and travel expenses. - Accommodation: All additional charges and Tourism Levies are to be settled directly with the hotel on arrival / departure. The rates offered are room only (and breakfast if indicated as included) - Please Note: Important and necessary information is communicated to delegates before and during the Congress by either email and/or SMS - Special dietary requirements - Any special dietary requirements requested after the 28th of August 2020 we cannot guarantee as these arrangements are organized in advance with the venue/s. - Online registration will close 48 hours before the Congress thereafter you will need to register onsite. Terms and Conditions INVOICING & PAYMENT PROCESS: - An invoice will be forwarded via a separate email once the online registration form has been completed and successfully submitted. - The invoice will indicate the Congress banking details for payment to be made by EFT. Congress Banking Details: Account Name: Eastern Sun Events cc t/a Congress Acc 6 Bank: First National Bank Branch: 261050 | Newton Park |Port Elizabeth | South Africa Account Number: 62198016612 SWIFT Code: FIRNZAJJ | IBAN No.: Not required when paying into South Africa Eastern Sun Events will not send emails advising of bank account changes. Please ignore any requests of this nature. - The onus remains on the delegate to ensure that payment is made, and the delegate will be held liable for any outstanding fees (Any legal costs incurred with outstanding payment follow up after the Congress has taken place will be for the delegates account) - Please use your Full Name & Surname as a reference when making payment to enable us to accurately reconcile your account. - We kindly request that you email a proof of payment and remittance advice to sases@easternsun.co.za soon as the transaction is made. - We require full settlement before the event for all delegates, including last minute registrations. - Should payment not be effected before the event, kindly make provision for on-site credit card payment to be processed at the registration desk on the day. No payment no access. CANCELLATION POLICY: - Bookings cancelled in writing before 30 May 2020 will be subject to a 25% admin fee - Cancellations made after 30 May 2020 will be subject to a 100% cancellation penalty, and will not qualify for a refund of any kind, as the full delegate fee will remain due and payable. - If you register after 30 May 2020 the full cancellation penalty as detailed above will still remain in full effect and will be enforced. - In the event of non-attendance / non-arrival, full payment will remain due and payable – without exception. - You have 48 hours within registering in order to cancel your registration for none of the above to apply.
