Pre-Registration Important Information

Please read the below information before completing the registration form.


Important Dates:
    - 30 May 2022: Early registration closes
    - 5 August 2022: Late registration – Only credit card payments will be accepted from this date 

Covid Requirements:
The conference committee requires that all delegates are vaccinated.
All Covid-19 Protocols will be adhered to.

Accommodation:
Accommodation in the chalets might be situated further away from the main hotel and conference centre. Please check with the hotel whether you will require your own transport. Transport will not be required if you are booked into the conference hotel.  Bookings to be made directly with the hotel, information on the accommodation page of the conference website.


Golf:
To achieve Medtech compliance, no golf can be played during the hours of the scientific programme.  Conference delegates will be obliged to agree to this if attending the conference.


Registration:
Your registration fee includes:
    - Access to conference sessions (excluding any workshops which might carry an additional cost)
    - Access to the trade exhibition
    - Lunches and morning/afternoon teas for the duration of the conference
    - Conference materials 
    - Welcome function

The registration fee excludes:
    - Awards dinner, 
    - Your hotel accommodation, 
    - Travel expenses and 
    - Transport to and from the airport.

Companions:

Due to Medtech regulations, companions are unable to attend conference sessions and entrance to the exhibition area during the conference programme. However, they can attend the welcome function at no cost - please indicate on the registration form.

Letters of Invitation:
Should you require a letter of invitation in order to obtain a visa (non-South African residents), please register first, and then contact Margie on congress@easternsun.co.za.  Letters of invitation can only be given to registered delegates. 

Payment and Invoicing:
A receipt of payment and/or invoice will be sent after registration along with your confirmation email, this can be used to claim back your registration fee from your organisation and/or sponsor.

Special dietary requirements:
Any special dietary requirements requested after 1 August 2022 cannot be guaranteed, as these arrangements are organised in advance with the venue.

Cancellation Policy:
    - Bookings cancelled in writing before 30 May 2022 will be subject to a 25% admin fee.
    - Cancellations made after 30 May 2022 will not qualify for a refund.
    - In the event of non-arrival, full payment will remain due and payable.
    - Should you contract covid-19 within 1 week of the conference, a registration credit will be provided towards the next conference 
       (Only the results of COVID PCR tests where the specimen was collected by laboratory personnel will be accepted).

Payment

Kindly note that if you choose the pay later option you will receive an invoice with banking details to make an EFT payment. This payment is due by 30 May 2022 for early registration delegates, if payment is not received by 30 May 2022 late registration fees will apply.
