Pre-Registration Important Information

Please read the below information before completing the registration form.

Important Date:
    - 15 March 2022: Early registration closes
   
Covid Requirements:
All Covid-19 Protocols will be adhered to. Wearing a face mask in public is mandatory in South Africa.

Accommodation:
Bookings to be made directly with the hotel, information on the accommodation page of the meeting website.

Registration:
Your registration fee includes:
    - Access to meeting sessions (excluding any workshops which might carry an additional cost)
    - Access to the trade exhibition
    - Lunches and morning/afternoon teas for the duration of the meeting
    - Meeting materials 
    - Welcome function

The registration fee excludes:
    - Your hotel accommodation, 
    - Travel expenses and 
    - Transport to and from the airport.

Companions:

Due to Medtech regulations, companions are unable to attend meeting sessions and/or entrance to the exhibition area during the meeting programme. This excludes the Jeremy Gardiner lecture which they are welcome to attend. Companions are also welcome to attend the welcome function at no cost - please indicate on the registration form.

Letters of Invitation:
Should you require a letter of invitation in order to obtain a visa (non-South African residents), please register first, and then contact Margie on congress@easternsun.co.za.  Letters of invitation can only be given to registered delegates. 

Payment and Invoicing:
A receipt of payment and/or invoice will be sent after registration along with your confirmation email, this can be used to claim back your registration fee from your organisation and/or sponsor.

Terms and Conditions:
Should it be necessary for the meeting to go virtual due to an increase in covid-19 restrictions, registration fees will remain the same.  

Special dietary requirements:
Any special dietary requirements requested after 2 May 2022 cannot be guaranteed, as these arrangements are organised in advance with the venue.

Cancellation Policy:
    - Bookings cancelled in writing before 15 March 2022 will be subject to a 25% admin fee.
    - Cancellations made after 15 March 2022 will not qualify for a refund.
    - In the event of non-arrival, full payment will remain due and payable.
    - Should you contract covid-19 within 1 week of the meeting, a full refund for your registration fee will be processed (minus a 25% admin fee). 
      Only the results of COVID PCR tests where the specimen was collected by laboratory personnel will be accepted.

Terms & Conditions: - All Covid-19 Protocols will be adhered to. - The conference registration fee excludes your hotel accommodation and travel expenses. - Any special dietary requirements requested after 2 May 2022 cannot be guaranteed, as these arrangements are organised in advance with the venue. Cancellation Policy: - Bookings cancelled in writing before 15 March 2022 will be subject to a 25% admin fee. - Cancellations made after 15 March 2022 will not qualify for a refund. - In the event of non-arrival, full payment will remain due and payable. - Should you contract covid-19 within 1 week of the conference, a refund for your registration fee will be provided (Only the results of COVID PCR tests where the specimen was collected by laboratory personnel will be accepted). - Should the numbers of the 3D Surgical Anatomy Course not reach the minimum requirement of 10 per session by the 24th of March, then the workshop will be cancelled and a full refund will be given. - If the delegate cancels after the 24 March cut-off then the workshop fee will be forfeit.
