PRESENTER GUIDELINES

Oral Presentations

Please note below are recommendations. If you have any special requests, kindly email us in advance to ensure that we can accommodate it. 

-   All onsite oral presenters are encouraged to email their presentation prior to the congress. All presentations must be
    received no later than 30 September Day 1 presenters to kindly upload 1 hour prior to the start of the session.
    Speakers on subsequent days should upload their presentations 24 hours before their talk (if they have not sent their
    presentations for pre-loading). 

-   Only MS-PowerPoint (*.ppt and *.pptx) presentations with video formats will be accepted.  Keynote users
    should export as a PowerPoint prior to uploading their presentation.

-   Please note that personal laptops will not be permitted under any circumstances.

-   Please create your presentation in 16:9 (wide screen) format. You are welcome to use your own presentation template
    design.

-   Embedded files: All embedded files/video clips should be saved as independent files in the same folder as the
    presentation. Use them as embedded objects, not as linked files. There will be no keyboard or mouse to progress your
    slides, only a wireless presenter (clicker). Therefore, please set all media files to start “automatically” rather than “when
    clicked”. AV technicians will check fonts, formats, videos, and sound. Recommended formats for videos: MP4, WAV.
    Recommended formats for images: GIF or JPG.

-   Presentations larger than 15mb to be sent via www.WeTransfer.com (a free large format sender)
    to lizl@easternsun.co.za by 30 September. Files smaller than 15mb can be emailed as normal. 

-   Presentations to be saved in the following format: TimeSurnameDate (ie 12h00Jones1Oct)

PRESENTATION ROOM SETUP AT CONGRESS

-   The venue will be equipped with a projector, screen, podium mic, comfort monitor, wireless clicker and notes view. 
-   Please arrive at your session 5 minutes prior to the published start time.
-   Please sit at the front of the venue by the reserved signs. Session chairs will introduce speakers prior to each
    presentation. Q&A should be included in your presentation unless a Q&A slot has been allocated in your session. 
    Please keep to your allocated time so that the programme does not overrun.
-   During your presentation you should select your vocabulary to address as wide an audience as possible and not use 
    unfamiliar abbreviations or expressions.
-   Please note that the official congress language is English, and all presentations should be delivered in English.


VIRTUAL PRESENTATIONS ON 19 SEPTEMBER (PRE-SELECTED)

Devices and network
-   Use a computer with a webcam or laptop (no cell phones please).
-   Check your Wi-Fi signal or LAN line speed http://speedtest.co.za  
-   Less than 10mb up/down is not ideal (simultaneous users will reduce speed). 
-   Speak loud and clearly.  
-   Check that your audio and video is in working order.

Audience experience
-   Wear professional attire.
-   Use a quiet, well-lit room.
-   Avoid having a light source behind you that shines into the camera.
-   Look at the camera, not the screen.
-   Ensure that your head and shoulders are visible in the frame.

Guidelines for live presentations
-   Ensure you know how to share your screen and presentation. 
-   Close all unnecessary programmes and windows before screen sharing.
-   Stop your screen share once your presentation has been completed.
-   Pre-rehearse and please keep to your allocated time.

Presentation Day

-   The Zoom link will be emailed to you by the ENT Society. 
-   Mute your microphone and wait for your cue to unmute.
-   The session chair will introduce the speakers, after which you may begin sharing your screen. A Q&A session will
    follow your presentation.
-   At the conclusion of the Q&A session, please mute your microphone and ensure that you have stopped sharing your
    screen.

ePoster Exhibitors


1. ePoster exhibitors are required to upload a digital copy of their ePoster (portrait format) to the ePoster platform by the 25 September in order to be considered for an ePoster prize, and by the latest 30 September for onsite exhibition. Please follow the instructions provided on the platform to complete your upload.

2. ePoster exhibitors will not be required to man their ePosters at congress. 

3. Exhibiting authors are required to be registered in order to display their work.
